Most recruitment agencies in Doha start with a shared spreadsheet, a few WhatsApp groups with foreign agents and a folder of scanned passports. It works until the agency grows. Then the same candidate is offered to two families, a visa stalls for weeks without anyone noticing, and nobody can say which placements were actually profitable.

Start with one candidate record

Every candidate should exist once, with their CV, photos, video, passport details, skills and the agent who sent them. When a candidate is reserved for a client, the system should show that immediately to everyone, including the public website and the office kiosk.

Make every step of deployment visible

Selection, medical, visa, ticket, arrival, handover and probation each need a date and a responsible person. A good system shows you which files are stuck and for how long, without phone calls.

  • Status per candidate, visible to staff and, where you allow it, to agents
  • Reminders when a step has taken longer than your usual time
  • Documents attached to the step they belong to

Tie money to the candidate

Advance payments, instalments, agent commissions and replacement refunds should all link to the candidate and contract. That is the only way to see real profit per placement and to answer a client quickly when they ask what they have paid.

Let clients choose online

Families increasingly expect to browse available candidates with photos and short videos before they call. A bilingual candidate website, fed directly from your system, reduces the back-and-forth and brings better-qualified enquiries.
